AEFIS Academic Partner Conference Reimbursement Program & Policy

The AEFIS Academic Partner Conference Reimbursement Program for the 2019-20 academic year is outlined below:

We are pleased to announce the availability of AEFIS Academic Partner Conference Reimbursement Program for 2019-20 academic year. This program represents one of several AEFIS strategic initiatives that aim to help contribute to the academic research and awareness towards improving student experience and success in higher education.

This program is available to AEFIS academic partners for the presentation of a paper or a poster or a workshop as part of an academic conference identifying AEFIS as a partner and showcases data analysis or screen-shots related to how AEFIS contributed to their research. An AEFIS academic partner is defined as a faculty or staff member of institutions with an active services agreement with AEFIS for at least six months and who have experience with the AEFIS platform for at least six months.

The approval of reimbursements is at the discretion of AEFIS management, contingent upon the availability of funds, and adherence to the terms set forth here. AEFIS does NOT guarantee reimbursements, implied or otherwise, unless written approval is received. Please note that this policy only pertains to academic conferences taking place during the 2019-20 academic year.

All reimbursement requests must complete the Conference Reimbursement Request Form (form requires a free Google account), along with the information requested on the form. Pending AEFIS Management Team discretion and availability of funds, reimbursements will normally be provided to:

  1. AEFIS academic partner presenting a paper or a poster or a workshop at an academic conference OR
  2. AEFIS academic partner not presenting papers but actively participating in a scholarly meeting to include: chairing a panel and taking part in a workshop; discussant on a panel or committee.

Please note the following important details: AEFIS will only reimburse for the following types of conference-related expenses: transportation (air, car, train, bus, cabs), accommodations (hotel, motel, inn, or hostel) and registration fees. International conferences are NOT included in the reimbursement program at this time. The total maximum reimbursable amount per conference per attendee is $1,000.00. A maximum of two attendees per event from a single institution can be reimbursed under this program. If you choose, you may request the reimbursement to be paid in the form of an AEFIS Subscription credit for your institution for the next billing period of your AEFIS services.

You must submit for reimbursement at least 30 days in advance of the conference/workshop start date. If approved, you will receive an approval email. Upon your return, please email your receipts for reimbursement along with your approval email to accounting@aefis.com. Reimbursements will not be processed without receipts. Providing there are no issues or missing documents, you should receive your reimbursement within 30 days.

The AEFIS Team may choose to publicize any submitted conference participation via social media. By submitting an application to this reimbursement program, you acknowledge that you and your institution may be mentioned as part of this social media activity and you give AEFIS permission to do so.
